HexCoda WhatsApp Button Documentation

HexCoda WhatsApp Button for WordPress and WooCommerce adds a configurable floating WhatsApp contact button across the public area of your website.

Visitors can open WhatsApp from the page they are viewing, review a prefilled message, and start a real conversation with your business. The message can optionally include the current page URL or the name of a WooCommerce product.

The plugin provides a single, focused WordPress interface for controlling the phone number, opening message, icon, color, size, position, spacing, tooltip prompt, device visibility, business hours schedule, license, and update status.

HexCoda WhatsApp WordPress Chat Button uses the standard WhatsApp click-to-chat system. It does not require access to the WhatsApp Business API, API credentials, chatbot configuration, or a separate customer support platform.

1. Plugin Overview

HexCoda WhatsApp WordPress Button gives website visitors a contact method that remains easy to reach while they browse.

Trademark notice: WhatsApp is a trademark of WhatsApp LLC. HexCoda WhatsApp Button is not affiliated with or endorsed by WhatsApp LLC.

2. Requirements

Before installing HexCoda WhatsApp Button WordPress plugin, confirm that the website meets the following requirements:

  • WordPress 6.0 or newer
  • PHP 7.4 or newer
  • JavaScript enabled in the visitor’s browser
  • A modern desktop or mobile browser
  • Permission to install and manage WordPress plugins
  • An active regular WhatsApp or WhatsApp Business number
  • Internet access for opening WhatsApp

Optional requirements

WooCommerce is optional.

When WooCommerce is active, the plugin can add the current product name to the prepared message on individual product pages.

The WordPress Media Library is required only when you want to upload and use a custom button icon.

Administrative permissions

The plugin settings and license controls require the WordPress manage_options capability.

Administrators normally receive this capability by default.

3. Installation

Install the plugin ZIP

  1. Log in to the WordPress administration area.
  2. Open Plugins > Add New Plugin.
  3. Select Upload Plugin.
  4. Choose the HexCoda WhatsApp Button WordPress installation ZIP.
  5. Select Install Now.
  6. After the installation completes, select Activate Plugin.

WordPress adds a new WhatsApp Button item to the main administration menu.

After activation

Open:

WhatsApp Button > General

The plugin cannot display a functional frontend button until a WhatsApp number has been entered and saved.

The example shown inside the phone-number field is a placeholder. It is not used as the frontend destination.

Updating an existing installation

Before installing an update:

  • Create a complete WordPress backup.
  • Confirm that the backup can be restored.
  • Test the update on staging when WhatsApp supports important customer inquiries.
  • Retest the phone number and prepared message.
  • Retest the tooltip and schedule.
  • Check the button on desktop and mobile.
  • Clear page, server, CDN, optimization, and browser caches.

Replacing or updating the plugin files does not normally remove the saved WhatsApp settings or license state.

4. Quick Start

Use the following process to publish your first WhatsApp contact button:

  1. Open WhatsApp Button in the WordPress dashboard.
  2. Enable the frontend button.
  3. Enter the WhatsApp phone number in international format.
  4. Write the base message.
  5. Choose whether to include the current page URL.
  6. Choose whether to include the WooCommerce product name.
  7. Open Appearance and choose an icon.
  8. Set the color, icon size, position, and spacing.
  9. Configure the tooltip when needed.
  10. Configure the business-hours schedule when needed.
  11. Save the settings.
  12. Open the public website and test the button.

Recommended first test

Test the button from:

  • A standard WordPress page
  • A blog post
  • A WooCommerce product page, when WooCommerce is active
  • A desktop browser
  • A real mobile phone

Confirm that the correct number, message, URL, and product name appear before publishing the configuration for visitors.

5. Administration Interface

HexCoda WhatsApp Button uses one connected settings screen divided into six sections:

  • General
  • Display
  • Appearance
  • Tooltip
  • Schedule
  • License

The interface is currently presented in English.

Navigation behavior

Select a section in the left navigation to open its controls.

The browser remembers the most recently opened section in local storage when available.

Blocking local storage does not prevent the settings page from working. The General section opens as the default.

Saving settings

General, Display, Appearance, Tooltip, and Schedule settings belong to one WordPress settings form.

Select Save settings after making changes in any of those sections.

The License section uses separate activation, refresh, and deactivation actions.

Configuration notices

The General section may display a status notice when:

  • No phone number has been saved
  • The frontend button is disabled
  • The current time falls outside the configured business hours

These notices help explain why the button may not currently appear on the public website.

Isolated administration assets

The plugin loads its administration styles, scripts, and Media Library controls only on the HexCoda WhatsApp Button settings screen.

This prevents the plugin interface from changing unrelated WordPress administration pages.

6. General Settings

Open:

WhatsApp Button > General

Enable WhatsApp button

Use this control to turn the frontend button on or off.

Disabling the button retains all other settings. You can enable it again without rebuilding the configuration.

The button renders only when:

  • The plugin is active
  • The frontend button is enabled
  • A phone number has been saved
  • The current time is allowed by the schedule
  • The current device is allowed by the visibility settings

Phone number

Enter the complete international WhatsApp number using digits only.

Do not include:

  • The plus symbol
  • Spaces
  • Brackets
  • Hyphens
  • A local trunk-prefix zero after the country code

The plugin removes non-numeric characters when the settings are saved. It cannot determine whether the country code or remaining digits are correct.

Base message

The Base message becomes the opening text prepared inside WhatsApp.

Example:

Hello. I would like more information about your services.

The visitor can review and edit the prepared message before sending it.

HexCoda WhatsApp Button does not send the message automatically.

Append product name

Enable this setting to add the current WooCommerce product name to the message.

The setting applies only when:

  • WooCommerce is installed and active
  • The visitor is viewing an individual WooCommerce product page
  • WordPress can load the current product

The product is added in this format:

Product: Product Name

Append current URL

Enable this setting to add the WordPress permalink to the message.

The URL helps identify the page that generated the inquiry.

WordPress must be able to resolve a valid permalink. Some archive, search, or unusual custom-query screens may not provide the same type of permalink as a standard page, post, or product.

7. Phone Number Format

Use the country code followed by the remaining phone number.

Enter digits only.

Examples

CountryLocal examplePlugin format
United States+1 415 555 267114155552671
Germany030 12345678493012345678
France01 23 45 67 8933123456789
United Kingdom020 7946 0123442079460123
Romania0740 123 45640740123456

These are demonstration numbers. Replace them with the number connected to your business account.

Removing the local leading zero

Countries such as Germany, France, the United Kingdom, and Romania commonly use a leading zero in domestic formatting.

Remove that zero when adding the country code.

Examples:

  • 030 becomes 49 30
  • 01 becomes 33 1
  • 020 becomes 44 20
  • 0740 becomes 40 740

Testing the destination

After saving the number:

  1. Open the public website.
  2. Select the WhatsApp button.
  3. Confirm that the intended account appears.
  4. Confirm that the prepared message is correct.
  5. Cancel the message if you do not want to send a test inquiry.

8. Messages and Context

HexCoda WhatsApp Button constructs the prepared message from up to three parts:

  1. The Base message
  2. The optional WooCommerce product name
  3. The optional current page URL

Blank lines separate the added context from the main message.

General inquiry example

Hello. I would like more information about your services.

WooCommerce inquiry example

Hello. I have a question about this product.

Product: Classic Leather Office Chair

https://example.com/product/classic-leather-office-chair/

Writing a useful base message

Keep the base message:

  • Short
  • Easy to understand
  • Relevant to the website
  • Natural rather than automated
  • Flexible enough for different pages

Useful examples include:

  • Hello. I would like more information.
  • Hello. I have a question about this service.
  • Hello. I would like to check availability.
  • Hello. I have a question about this product.
  • Hello. I would like to request an estimate.

9. Site-Wide Display

Open:

WhatsApp Button > Display

The plugin uses a site-wide display model.

The button can appear across:

  • WordPress pages
  • Blog posts
  • Archives
  • Search results
  • WooCommerce screens
  • Custom post types

You do not need to insert a shortcode or page-builder element.

Hide on mobile

Enable this option to hide the button below 768 pixels.

Use it when the mobile layout already includes another prominent contact control or when the floating button conflicts with mobile navigation.

Hide on desktop

Enable this option to hide the button at 768 pixels and above.

Use it when WhatsApp contact should remain limited to smaller devices.

Conflicting device settings

The plugin does not allow both hiding options to remain enabled together.

If both options are submitted, the plugin resets them so the contact button does not become hidden at every screen width.

A warning appears after the settings are saved.

10. Button Appearance

Open:

WhatsApp Button > Appearance

The Appearance section is divided into three steps:

  1. Choose an icon
  2. Set the color and size
  3. Choose the position and spacing

A live browser-style preview updates as the controls change.

The public website continues using the last saved settings until you select Save settings.

Filled icon

The Filled option uses the locally bundled solid WhatsApp mark.

Use it when you want the symbol to remain clear at smaller sizes.

Outline icon

The Outline option uses a lighter locally bundled visual style.

Check its contrast against the selected button color before publishing.

Custom icon

Select Custom, then choose Select custom icon.

The WordPress Media Library opens, allowing you to select an uploaded image.

Recommended custom-image formats include:

  • PNG
  • WebP
  • JPEG
  • SVG, when the website permits SVG uploads

Use a square image with minimal transparent space around the visible symbol.

Transparent padding inside the source image can make the icon appear smaller than the selected pixel size.

Removing a custom icon

Select Remove to clear the custom Media Library selection.

The plugin returns to the built-in Filled icon.

If a saved custom attachment becomes unavailable, the plugin falls back to a built-in WhatsApp icon.

Button color

Choose a color through the visual color control or enter a six-digit hexadecimal value.

Example:

#25D366

If the saved value is invalid, the plugin returns to the default WhatsApp green.

Check that the icon remains visible against the selected background.

Icon size

Accepted values range from 16 to 64 pixels.

The interface recommends 28 to 42 pixels.

A size near 40 pixels often gives the standard icon a fuller appearance inside the 58-pixel circular button.

Custom icons may require different values depending on their visible shape and transparent margins.

Button position

Choose:

  • Bottom right
  • Bottom left

The lower-right position is familiar for chat and contact tools.

The lower-left position may work better when another floating element already occupies the right side.

Bottom spacing

Bottom spacing controls the distance between the floating button and the bottom edge of the browser.

Accepted values range from 0 to 300 pixels.

Side spacing

Side spacing controls the distance between the button and the selected left or right edge of the browser.

Accepted values range from 0 to 300 pixels.

Avoiding overlap

Check the button against:

  • Cookie notices
  • Sticky add-to-cart controls
  • Accessibility widgets
  • Back-to-top buttons
  • Mobile navigation bars
  • Other chat widgets

Test the final position on actual desktop and mobile devices.

11. Tooltip Bubble

Open:

WhatsApp Button > Tooltip

The tooltip displays a short message beside the floating button.

Enable tooltip

Turn this setting on to display the temporary prompt.

Turn it off when the WhatsApp symbol already provides enough context or when you prefer a quieter interface.

Tooltip text

Enter a short invitation.

Examples include:

  • Need help?
  • Ask about this product
  • Chat with our team
  • Check availability
  • Request more information

Long messages may occupy too much space on mobile screens.

Delay in seconds

The delay controls how long the plugin waits before displaying the tooltip.

The minimum value is 0 seconds.

Decimal values such as 0.7 are supported.

Visible duration

Visible duration controls how long the tooltip remains on screen after appearing.

The minimum value is 1 second.

Session behavior

The plugin uses browser session storage to remember that the tooltip has appeared.

When session storage is available, the prompt displays once during the browser tab session rather than repeatedly on every eligible page.

If browser storage is blocked, the tooltip still works, but the plugin may be unable to remember that it has already appeared.

Tooltip placement

The tooltip appears beside the button:

  • To the left of a lower-right button
  • To the right of a lower-left button

Its position follows the configured bottom and side spacing.

12. Business Hours

Open:

WhatsApp Button > Schedule

Business-hour scheduling lets you show the contact button only during selected days and times.

WordPress timezone

The schedule uses the timezone configured under:

Settings > General > Timezone

It does not use the visitor’s device timezone.

Confirm that the WordPress timezone is correct before enabling the schedule.

Enable schedule

When the schedule is disabled, the button remains eligible to appear at any time.

When enabled, the current weekday and time must match the selected schedule.

Available days

Select one or more weekdays:

  • Monday
  • Tuesday
  • Wednesday
  • Thursday
  • Friday
  • Saturday
  • Sunday

If no valid day remains after saving, the plugin restores Monday through Friday as the default selection.

Start time and end time

Enter a valid time in the WordPress time-control fields.

A standard schedule might use:

  • Start time: 09:00
  • End time: 18:00

The button is available during the selected period, including the start and end minutes.

Overnight periods

An end time earlier than the start time creates an overnight period.

Example:

  • Start time: 18:00
  • End time: 02:00

For availability after midnight, select both the evening day and the following calendar day.

For example, to remain available from Monday at 18:00 until Tuesday at 02:00, select both Monday and Tuesday.

Matching start and end times

When the start time and end time are identical, the plugin treats the selected day as available all day.

When to use scheduling

Business-hour scheduling can help:

  • Set realistic response expectations
  • Limit inquiries to staffed periods
  • Match appointment or reservation hours
  • Support businesses managed by one person
  • Avoid presenting immediate contact when nobody can reply

Some businesses may prefer to keep the button visible at all times and respond later. Choose the approach that matches your communication policy.

13. WooCommerce Integration

WooCommerce is optional.

HexCoda WhatsApp Button continues working as a standard WordPress contact button when WooCommerce is not installed.

Product-name context

On an individual WooCommerce product page, the plugin can append the current product name to the prepared message.

Example:

Hello. I have a question about this product.

Product: Classic Leather Office Chair

This helps the store identify the item before replying.

Useful product questions

Customers may use the button to ask about:

  • Stock availability
  • Product dimensions
  • Compatibility
  • Delivery estimates
  • Product variations
  • Installation requirements
  • Additional photographs
  • Pre-purchase clarification

14. Visitor Experience

When a visitor selects the frontend button:

  1. The browser opens the configured wa.me destination.
  2. WhatsApp receives the destination number and prepared message.
  3. A mobile device may open the installed WhatsApp application.
  4. A desktop device may open WhatsApp Web or the WhatsApp desktop application.
  5. The visitor reviews the prepared message.
  6. The visitor chooses whether to send it.

The link opens in a new browser tab or in an application context, where the visitor’s device supports it.

No automatic message sending

The plugin does not send a message when the button is selected.

WhatsApp requires the visitor to confirm and send the message.

No embedded chat window

The conversation does not take place inside WordPress.

HexCoda WhatsApp Button provides the website entry point, then WhatsApp manages the conversation.

Conversation continuity

Because the conversation moves to WhatsApp, the visitor can continue it after closing the website.

This differs from browser-only live chat, where the conversation may depend on the website tab remaining open.

15. Accessibility

HexCoda WhatsApp Button includes several frontend accessibility details.

Accessible link label

The floating button uses the accessible label:

Chat on WhatsApp

The decorative image at the link uses an empty alt text because the link itself already conveys its purpose.

Keyboard access

The button is a standard link and can receive keyboard focus.

Visitors can use the keyboard to focus and activate it.

Visible focus

The plugin adds a visible focus outline for keyboard users.

Theme styles can affect the final appearance, so inspect the button with keyboard navigation after publishing.

Reduced motion

The plugin respects the browser or operating system reduced-motion preference by disabling its frontend transitions.

Tooltip announcement

The tooltip uses a status role so assistive technologies can identify the temporary message.

Keep tooltip wording short and meaningful.

Color and icon responsibility

The plugin cannot determine whether every combination of custom color and icon provides sufficient contrast.

Check that the visible symbol remains clear against the selected button color.

16. Responsive Design and Performance

Fixed frontend position

The button remains fixed relative to the browser window while the visitor scrolls.

Its position does not depend on the surrounding page content.

Responsive visibility breakpoint

The plugin uses 768 pixels as the boundary between mobile and desktop visibility rules.

  • Mobile: below 768 pixels
  • Desktop: 768 pixels and above

Local frontend assets

The plugin bundles its frontend CSS, JavaScript, and built-in icons locally.

It does not require a remote chat-widget library to render the button.

Conditional loading

Frontend assets are loaded only when the button is eligible to render.

The plugin does not enqueue its public assets when:

  • The button is disabled
  • No phone number has been saved
  • The schedule currently hides the button

Fallback rendering

The plugin attempts to print the button through standard WordPress frontend hooks.

A small frontend script can insert the button when the theme does not provide the expected body or footer output.

Only one button is added when the normal server output already exists.

Theme compatibility

The plugin uses a high stacking level and direct frontend positioning to reduce theme conflicts.

Still test it with:

  • Sticky headers
  • Sticky footers
  • Cookie banners
  • Mobile menus
  • Sticky WooCommerce controls
  • Accessibility plugins
  • Other floating widgets

Caching

A full-page cache can preserve an older button configuration.

After changing the settings:

  1. Clear the WordPress page cache.
  2. Clear the hosting or server cache.
  3. Clear the CDN cache.
  4. Clear any optimization-plugin cache.
  5. Test in a private browser window.

Scheduling relies on WordPress deciding whether to print the button during page generation. Aggressive full-page caching can preserve a version generated during a different availability period.

Configure cache expiry or exclusions appropriately when exact business-hour changes are important.

17. Privacy and Security

Frontend privacy behavior

HexCoda WhatsApp Button does not include visitor analytics, advertising scripts, conversation tracking, or telemetry.

The plugin itself does not create frontend cookies.

Browser session storage

When the tooltip is enabled, the plugin may store the following marker in browser session storage:

hcwabBubbleShown

This marker indicates that the tooltip has appeared during the current browser tab session.

It does not contain a name, phone number, message, or conversation content.

Administration local storage

The administration interface may store the most recently opened settings section in browser local storage.

This preference affects only the WordPress administrator using that browser.

WhatsApp connection

When a visitor selects the button, the browser connects to WhatsApp through a wa.me address.

The destination address contains:

  • The configured business phone number
  • The prepared message
  • The product name when enabled and available
  • The page URL when enabled and available

WhatsApp’s own privacy terms apply after the visitor follows the link.

Review your website privacy notice and explain how you use WhatsApp when required by the laws and policies that apply to your business.

License-server communication

License activation, validation, deactivation, and protected update checks communicate with the HexCoda update service.

These requests may include:

  • The license key
  • The HexCoda product slug
  • The website URL
  • A plugin-instance identifier
  • The installed version
  • The stable update channel
  • A release identifier when requesting an update package

This information supports license validation, activation limits, entitlement checks, and secure update delivery.

18. Troubleshooting

The frontend button does not appear

Confirm that:

  • The plugin is active.
  • Enable WhatsApp button is turned on.
  • A phone number has been saved.
  • The current time is inside the configured schedule.
  • The device visibility setting allows the current screen width.
  • The page and server caches have been cleared.
  • The theme prints standard WordPress frontend hooks.

The General screen displays a status notice when the number is missing, the button is disabled, or the schedule currently hides it.

The button appears in the preview but not on the website

The live preview does not require a phone number because it demonstrates the appearance controls.

The public button requires a saved phone number.

Save the number, clear the cache, and test again.

WhatsApp opens the wrong number

Check the international format and country code.

Remove the local leading zero after adding the country code.

Use digits only.

The message is empty or incorrect

Review the Base message under General settings.

Save the settings, clear the cache, and test the button again.

The visitor can edit the prepared message before sending it.

The product name does not appear

Confirm that:

  • WooCommerce is installed and active.
  • Append product name is enabled.
  • The visitor is viewing an individual product page.
  • The current WooCommerce product is valid.

The product name is not added on the shop archive, cart, checkout, or unrelated WordPress pages.

The page URL does not appear

Confirm that Append current URL is enabled.

The plugin adds the URL only when WordPress can resolve a valid permalink for the current request.

The custom icon does not appear

Confirm that:

  • Custom is selected as the icon type.
  • A valid image was selected from the Media Library.
  • The image attachment still exists.
  • The file URL remains publicly accessible.
  • The settings were saved after selecting the image.

If the custom image is unavailable, the plugin falls back to a built-in icon.

The icon looks too small

Increase the Icon size setting.

A value near 40 pixels often creates a balanced result with the standard icon.

Also inspect the custom source image for transparent space around the visible graphic.

The button covers another element

Increase the bottom or side spacing.

You can also move the button to the opposite lower corner.

Test the result at common mobile and desktop widths.

The tooltip does not appear again

The tooltip is designed to appear once during the current browser-tab session when session storage is available.

Close the tab and open a new browser session, or clear the site’s session storage when testing.

The tooltip appears on every page

The browser may be blocking session storage.

The tooltip can still display, but the plugin cannot remember that it has already appeared.

The schedule uses the wrong time

Open:

Settings > General > Timezone

Correct the WordPress site timezone, then retest the schedule.

An overnight schedule stops at midnight

Select both the starting day and the following calendar day.

For Monday 18:00 through Tuesday 02:00, select Monday and Tuesday.

Changes do not appear publicly

  1. Select Save settings.
  2. Clear the WordPress page cache.
  3. Clear the object or server cache.
  4. Clear the CDN cache.
  5. Clear the optimization cache.
  6. Test in a private browser window.

WhatsApp opens, but the message is not sent

This is expected.

The plugin prepares the message, but the visitor must select Send inside WhatsApp.

The license will not activate

Confirm that:

  • The complete key was entered correctly.
  • The key belongs to HexCoda WhatsApp Button.
  • The website can connect to HexCoda.com.
  • The activation limit has not been reached.
  • A security or firewall rule is not blocking WordPress HTTP requests.

A failed activation does not replace an existing saved key or active license state.

Safe diagnostic sequence

  1. Confirm that WordPress and PHP meet the minimum requirements.
  2. Confirm that HexCoda WhatsApp Button 1.0.6 is active.
  3. Disable the business-hours schedule temporarily.
  4. Allow the button on both mobile and desktop.
  5. Save a valid test number and message.
  6. Use the built-in Filled icon.
  7. Clear every relevant cache.
  8. Test on a simple public page.
  9. Check the browser console for JavaScript errors.
  10. Check the WordPress debug log.
  11. Test with a default WordPress theme on staging.
  12. Record the active theme, WordPress, PHP, browser, cache, and plugin versions.

Use a staging website when disabling plugins, changing themes, or modifying optimization settings.

19. Migration and Data Retention

Migration from WP Simple WhatsApp Button

HexCoda WhatsApp Button can preserve settings from WP Simple WhatsApp Button 1.2.3 during activation.

When no HexCoda configuration exists, the plugin can use the earlier saved configuration as its starting point.

Once the HexCoda configuration contains a valid phone number, it becomes the primary configuration.

Review imported settings

After migration:

  1. Open every plugin settings section.
  2. Confirm the phone number.
  3. Review the prepared message.
  4. Review the icon and color.
  5. Review the position and spacing.
  6. Review the tooltip.
  7. Review the schedule and timezone.
  8. Save the settings.
  9. Test the frontend button.

Deactivation

Deactivating the plugin removes the frontend button and stops its public scripts and styles from loading.

The saved plugin settings, license information, and custom Media Library icon remain stored.

Plugin replacement

Replacing the plugin files with a newer version normally preserves the saved settings because they are stored in the WordPress database.

Custom icon files

Removing or deactivating the plugin does not delete the selected custom image from the WordPress Media Library.

20. Maintenance and Licensing

Activate the license

Open:

WhatsApp Button > License

Enter the HexCoda license key and select Activate License.

The key is saved only after the HexCoda license server confirms the activation.

License summary

The License section can display:

  • Activation status
  • Product name
  • Current website
  • Activation usage and limit
  • Support valid date

Deactivate License

Select Deactivate License before moving the license to another production website.

Successful deactivation releases the activation from the current plugin instance.

Protected updates

An active and entitled license allows WordPress to receive eligible HexCoda updates.

The update client:

  • Checks the installed version
  • Rejects equal or older releases
  • Verifies signed update metadata
  • Checks the trusted signing-key identity
  • Checks the protected package checksum
  • Removes stale update notices

Update procedure

Before updating:

  1. Create and verify a complete backup.
  2. Test important updates on staging.
  3. Install the update through WordPress.
  4. Clear all cache layers.
  5. Retest the button destination and message.
  6. Retest the custom icon and placement.
  7. Retest the tooltip.
  8. Retest the business-hours schedule.
  9. Retest desktop and mobile visibility.

Commercial terms

The license allows continued use of the licensed product version in accordance with the purchase terms supplied with the order.

HexCoda products normally include 12 months of technical support and product update access, in accordance with the applicable purchase terms.

The following details depend on the purchased license:

  • Number of permitted production websites
  • Staging and development allowances
  • Support period
  • Update entitlement
  • Refund conditions

Keep the order confirmation, license key, and original plugin ZIP in a secure location.
